Privacy Shield protects sensitive information by automatically redacting personal data (PII) before content is sent to external sources such as legal databases, web search or publishers like Otto Schmidt.
Privacy Shield is optional. BEAMON already processes your data according to strict security, confidentiality and privacy standards. Privacy Shield adds an extra layer of control for organisations that want it.
What gets redacted
The following types of personal data are redacted automatically:
- People: names
- Organisations: companies and institutions (see below)
- Contact details: addresses, email addresses, phone numbers, IP addresses
- Financial data: credit card and bank account numbers
- Identity information: passport, social security and health insurance details
- Vehicle details: licence plates and registration numbers
Organisation names
When redaction is on, organisation names are redacted too. That's not always what you want: in "What's the latest news on Acme Inc.?" the name should stay visible, while in "My client Acme Inc. needs to file for insolvency." it should be hidden.
BEAMON can't tell these situations apart. So decide for each chat whether to turn redaction on or off, depending on whether the names in it relate to client data.
General institutions such as court, government or parliament are never redacted. We maintain a fixed list of these, which can't be edited.
Make Privacy Shield available (admins)
- In the sidebar, click Configuration.
- Open General.
- Under Privacy Shield, turn on Show PII redaction toggle.
Everyone in your organisation can then turn on redaction in their Assist chats.
Use Privacy Shield in a chat
You can turn redaction on or off for each chat:
- In the chat input, click the gear icon next to the model selection.
- Turn on Personal Data Redaction to redact personal data before it's sent to external sources.
- Turn it off if names, including organisation names, should remain visible.
While redaction is active, a notice appears above the chat input.
Frequently asked questions
